407 – Certified Mail

I. Purpose

General guideline for handling Certified mail.

II. Policy

A. Mail room personnel shall sign a receipt for all certified mail delivered to the Harris County Sheriff’s Office by the United States Postal Service. Each certified correspondence shall be logged by identification number and individually signed for by a mail room representative.

B. Certified mail shall be delivered directly and promptly to the person listed as the addressee on the correspondence.

C. In the event that an addressee and his or her designee may be off duty, mail room personnel shall deliver the certified letter to that person’s superior in the chain of command.

D. Mail room personnel shall have the recipient sign for mail by date and time when it is delivered. A copy of all signatures, logs, and other documentation shall be maintained in the mail room section.
